Scope and services

This Privacy Policy explains how SharePoint SMEs, LLC dba Cloudwell and its affiliates (“Cloudwell,” “we,” “us,” and “our”) collect, use, disclose, and protect personal information in connection with our software applications and services, including Cloudwell DocLab, Calendar Overlay, Staff Directory, Org Chart, Team Members, and Viva Announcements (collectively, the “Services”). It also covers information you provide when contacting Cloudwell or using our websites and support channels.

Cloudwell DocLab is a document generation service that combines templates and supplied data to inspect, populate, and generate Word, Excel, and PDF documents. Organizations can integrate DocLab with their applications and automated workflows through its API and supported integrations. Available processing and delivery options depend on the deployment and configuration.

Personal information we process

How information is used

We use personal information to provide and administer the Services, authenticate authorized use, manage licensing and usage, respond to inquiries and support requests, troubleshoot problems, maintain security and reliability, and meet applicable legal obligations. DocLab processes customer content to perform the document operations requested by the customer.

Your organization’s responsibilities

When an organization provides personal information through the Services, it is responsible for determining what information to submit, establishing its authority to process that information, and configuring access and connected systems. Cloudwell processes customer content on the organization’s behalf to deliver the requested service. If you use the Services through your employer or another organization, contact its administrator about its own privacy practices and requests relating to its content.

Cloudwell DocLab hosting and document processing

Cloudwell DocLab is operated as a Cloudwell-hosted service. Templates and supplied field values are transmitted to the service to perform the requested inspection, generation, or conversion operation and return the result. Cloudwell does not retain document contents or request payloads as part of its licensing records or API usage statistics. Optional temporary document previews are described below.

For hosted DocLab features that offer optional Microsoft Office online preview, selecting external preview sends the generated document to Microsoft’s online viewer through an expiring access link. Anyone possessing that link may access the file until the link expires. Microsoft’s handling and caching of the document are governed by its own terms and privacy practices; link expiry does not guarantee deletion of a copy already received by Microsoft. Customers should use an appropriate download or delivery option for confidential content. External preview is not available in every deployment.

When you connect DocLab to another application, data sent to or stored by that application is also subject to that provider’s terms and your organization’s configuration.

Sharing and service providers

We may use service providers to host, operate, secure, and support the Services. Service providers accessing personal information on our behalf are obligated not to disclose or use it for other purposes. Information may also be disclosed as required by law or to protect the security and lawful operation of the Services.

Cloudwell does not sell personal information and does not use customer information or document content to train AI models.

Retention and deletion

Licensing: Cloudwell stores your organization’s tenant ID to administer DocLab licensing.

API usage statistics: DocLab retains API usage statistics for a maximum of 31 days. These statistics reset on the first day of each month and do not include document content, field values, or request payloads.

Temporary previews: If a document preview is requested, generated output is held temporarily to serve an expiring preview link and is removed through the preview service’s expiry and cleanup process. The preview link indicates its expiry. This temporary preview storage is separate from API usage statistics. Expiry cannot remove copies already downloaded or received by an external viewer.

Documents saved by your organization or a connected application are subject to that organization’s or provider’s retention settings. Contact Cloudwell using the details below for questions or requests about information held by Cloudwell.

Security

We use commercially reasonable measures to protect personal information. No method of transmission or electronic storage is completely secure, and we cannot guarantee absolute security. Customers are responsible for protecting their credentials and managing access to their own deployments and connected systems.

Cookies and browser storage

Our websites use cookies to support functionality, remember preferences, and help us understand website usage. You can manage optional cookies through Cookie Settings and your browser controls. Blocking cookies may affect some functionality. Website cookies are separate from the document content submitted to DocLab for processing.

Privacy requests and contact

For questions about this policy, or to request access to, correction of, or deletion of personal information held by Cloudwell, contact info@cloudwell.io. We will assess requests in accordance with applicable law and may need to verify your identity or refer requests concerning organization-controlled content to the relevant organization.
