Is your organization battling with lost productivity due to missed meetings, double bookings and time wasted toggling between calendars?
You’re not alone.
Managing multiple calendars across Microsoft 365 can quickly become overwhelming, especially when you’re switching between SharePoint, Outlook, Exchange, and Planner just to stay on top of your schedule.
We created our Calendar Overlay app as a direct response to these exact challenges faced by many of our customers.
Here’s why Calendar Overlay is a game productivity game changer…
Why your organization needs an integrated calendar
One view for everyone
Bring calendars from SharePoint, Outlook, Exchange, Planner and more into a single, color-coded view. No more switching tabs, missing updates, or second-guessing availability.
Smarter scheduling, fewer conflicts
See who’s available, where, and when, in an instant. Plan meetings and cross-team projects with confidence, without the double-bookings.
Built for global teams
Give everyone visibility, no matter the time zone. Calendar Overlay helps distributed teams schedule and coordinate without the endless back-and-forth.
Save hours every week
Your team shouldn’t spend hours every week managing calendars. With everything in one place, you free up time for the work that really matters.
Saves IT admins time too
Calendar Overlay is quick and easy to install and configure, leaving IT admins free to focus on more complex tasks.
What our customers say:
“Calendar Overlay has transformed our team’s approach to scheduling and collaboration, resulting in increased efficiency, productivity, and overall satisfaction. We highly recommend this app to any organization seeking to streamline their calendar management and enhance teamwork.”
And the best part? You can have Calendar Overlay up and running in three simple steps.
Step 1: Add the Calendar Overlay Web Part to Your Page
Find the Cloudwell Calendar Overlay app in the SharePoint Store or find us in Microsoft App Source.
In the SharePoint admin center, click Advanced > API access in the left navigation. Select each of the pending requests from the Cloudwell Calendar Overlay package and click Approve.
Step 2: Choose where you want your Calendar Overlay app to be available
You can add Calendar Overlay to Microsoft Teams, to a SharePoint page, or to Teams as a channel tab.
Here’s how to add it to Teams:
Start by synchronizing your solution with Teams by selecting the app in the SharePoint tenant App Catalog and select the Sync to Teams button in the ribbon on the Files tab.
Confirm that you can see the status message in the top-right corner.
Move to the Microsoft Teams side and check the App Catalog status by selecting Apps from the left navigation.
Wait until your tenant-specific apps selection is visible, then confirm that you can see the Calendar Overlay app in the Teams App Catalog.
Note: this might take a few minutes due to caching.
Here’s how to add it to a SharePoint page:
Go to the page where you want to add the Calendar Overlay.
Click edit at the top right of the page.
Hover your mouse above or below an existing web part and you’ll see a line with a circled +.
Click + and you’ll see a list of web parts to choose from. To easily find the Calendar Overlay web part, start typing in the Search box and then select Calendar Overlay in the search results.
Here’s how to add it as a channel tab in Teams:
Choose the channel where you want to add Calendar Overlay, then select a new tab by hitting +.
Find the app in the list, select Confirm, then Save.
Step 3: Customize and personalize Calendar Overlay by configuring your settings
Once you have Calendar Overlay where you want it, the next step is configuration.
The Calendar Overlay uses the native settings dialogs in SharePoint and Teams to configure settings for the app.
To edit the settings in SharePoint, while in edit mode on a page, select the Edit web part icon on the Calendar Overlay web part.
To edit the settings in Teams, select the dropdown of the Calendar Overlay tab you would like to edit and click Settings.
The Settings panel will become visible on the right side of the screen.
Remember, you need SharePoint member (or higher) permissions to edit the settings on a SharePoint page, and you need Teams team owner (or higher) permissions to configure the tab settings in Teams.
There are two elements to figuring Calendar Overlay, the data source and the calendar display.
Here’s what you need to know about configuring the data source.
Configuring your data sources
The data source settings allow a user to define the sources, colors, icons, and order of calendars in view.
SharePoint calendars
You can easily pull in SharePoint lists and libraries as calendar sources — as long as they include columns for title, start date, and end date. Customize the display name, icon, colors, and column mapping for each calendar, and manage them all from a simple interface.
Exchange Calendars
You can connect calendars from Exchange Online or on-premises using any valid email address, including users, shared mailboxes, Microsoft 365 Groups, or resource accounts. Simply define the calendar name, color settings, and email address, then manage your sources from the Exchange calendar panel.
Planner Plans
To add Planner Plans as a data source, select Manage Plans, Add to define a new calendar source and Edit to modify the settings. Delete the calendar source, or the Up and Down arrows to change the order in the legend. Fill in the Calender Name and Event Colors properties.
iCal Feeds
Bring in external calendars using iCal URLs for integrating third-party apps such as Sage, Basecamp or Asana, holiday calendars, or other external sources. Just paste the feed URL, name your calendar, and apply custom colors.
Configuring your calendar display
Calendar Overlay gives you full control over how your calendar is displayed for users. Set a default view (like Month or Week), choose which views are available, and adjust how many events to show each day.
You can also toggle the calendar legend, enable dropdown actions for calendar sources, and control how the calendar resizes either automatically, manually, or based on a set ratio.
Event start and end times can be shown or hidden based on your preferences.
Ready to bring order to your organization’s calendars? You can be sure they’ll thank you for it.
